Western Mass Parrothead Club Meeting Minutes Monday – April 7th, 2008

a.       Miscellaneous:

a)      Each Quarterly Meeting get points for bringing donations to local food pantry and for collecting can tabs for RMHC.

b.      Pitch/Hit/Run - April 12th, 2008

Chairpersons: Maryann & Karen

Karen sent notice to several REC departments, little league groups, etc.  Karen turned over the information package from Aquafina to Maryann.

Maryann sent out advertisements and Keith got Extra Innings to donate equipment.  Looking for clipboards and timers.

c.       Special Olympics – May 3rd, 2008

$500 from New Alliance Bank

Weds prior to event go to Claire’s house if you want to help stuff bags.

Allison will look at steamer rental.  Kevin and Jane will be there to help out again.  Karen will bring tables, tents, hot dog steamer and other supplies.  Domino’s should be contacted again about helping out.

d.      Summer Party for a Purpose

To benefit the Children’s Miracle Network for Sarah

Rum Runners band to debut.  There will be burgers, dogs and other goodies for food.  Fireworks that night supplied by the town.  If you want to come in the night before to help set-up you are more than welcome to.

e.       National ticket coordinator regarding 10/18 or 10/25 party.  $35 night before – know by April 9th.

f.        Kathy from PHCoEM has yet to do any communication regarding GW tickets.  Many presidents are having problems getting information.

g.       Club 10th anniversary party 11/22 at the Holiday Inn in Holyoke.  Talked about getting Segway to raffle, club decided against.  Would just like it to be a social event.  Maybe a dinner and a 50/50 raffle only.  Maryann looking at LandSharks, Sunny Jim, John Frinzi or possibly the Rum Runners.

h.       Convention update – getting recyclable bags from Stop & Shop or Price Chopper to use as out registration bag give away.  Talked about things like $5 t-shirts, and other things for registration packets.  Need to get letterhead for requests for donations. Paypal cost is too high – so need to look at another option for online registrations maybe.  $60 registration fee to keep it in line.  Food cost for Maine is $85 not including a Friday meal.  We have a $90.75 for all meals.  $112.75 per night we are looking to do $115.00 for ours.  Peter Mayer and Club Trini maybe can come to our convention.  Would like to get room breakdown from RI.  We will be comping about 7 rooms.  Maine’s registration whole package free before end of sign-up on Sunday.  List of when things need to be done. Budget with no sponsorship money.  198 rooms off top of Maryann’s head of what we’ll need.
