Western Mass Parrothead Club Meeting           Tuesday - April 11, 2006

  1. Review & Approve Minutes from Feb 2006 meeting – Approved – see attached.

 

  1. Reminder of upcoming events schedule

 

            a) Tag Sale April 22nd-23rd:

·       Set-up & Clean-up time slots

·       Sign-up sheet for Tag Sale 8am-3pm splitting up the times from 8-12 and 12-3 each day

·       3-4 people per time slot would be ideal

·       Donation collection for club table need to keep track of who donates

·       St. Joes – Hanover Street in Westfield – brick building upstairs

·       Tables $15 one day and $25 two days

·       Trying to get snackbar – has bathrooms

·       Own table Parrothead – Donations go to Pete Devine

·       Will send out directions to people

·       Ad in this weeks paper – Marianne sent out to many local papers (Agawam Advertiser, Reminder, Wspfld Record, Union News, Westfield News)

·       9-3pm both days

 

b) Lung Walk May 6:

·       Lung Walk sign-up sheet
(We'll be handing out water at two stations during the walk.)

·       Donations can be given to Mina

·       Change location to Forest Park – two water stations along walk route

·       Two 10x10 cabanas

·       Marianne will check back to make sure water is delivered

·       Before 7:45am free

·       After 7:45am charge so park at church

 

c) MS Walk May 7th:

·       MS Walk sign-up sheet

·       Edyie & Jim are in charge need update

·       Jim emailed information separately because it’s earlier than last year:

The MS walk on Sunday May7th will start at 8:30 a.m. Volunteers for Registration, greeters and prizes should try to arrive by 8:00 a.m. The timing seems kind of tight so I would say in reality the walk might not start till 9:00 a.m. Lunch is scheduled for 10:00 and cleanup is scheduled for 11:00. We should be out of there for noon the latest.

 

d) Special Olympics May 13th

·        Sign-up Sheet – virtual Claire – Marianne

·        Holyoke High School

·        750-850 People

·        9am – Start Time probably Claire will get specific

·        Frito Lay pulled out – Claire will go to Pepperidge Farm, On the Border will donate chips….Fran Frew has connections to get some donations through his new store

·        Paper Goods from Marianne

·        Need 10x10 tent and 6’ & 8’ tables from Feldeisens

·        Same set-up as last year

·        Chips, hot dogs and drink

·        5th year doing it

·        Donation bucket – Mike O’Connell replacement

 

e) June:

·       Blood Drive Date needed – Mina will get

·       Money for concert tickets will be collected Concert 29th – Has to be in Tanya’s hand by 26th of April for tickets $93.00 per ticket

 

e) July:

·       John Frinzi & Sunny Jim Berkshire Blues Cafι – in Lee, on Friday, July 28th from 8pm-11pm $25/person to include Band, Burger & Beer/Soda.

·       Picnic tables outside will hold up to 300

·       Save the date announcement

·       As soon as Marianne finalizes details we’ll know

·       The expensives for these two to play is going to be:
$1000 (2-$500 checks)
$200 (travel expenses – very cheap being split 3 ways)
$280 (hotel room) and $50 Friday dinner/Sat Breakfast/gift basket for room.

·       Need to sell 101 tickets to break even – maybe club members could commit to taking 6-10 tickets to sell.

·       Need to work on centerpieces/decorations/volunteers to help.

·       Tickets printed 275 they are free for our events. (Marianne to explain.)

·       Money from dance – used to operate the club or seed money for convention – Charity will go to Autism of America

·       Chinese Raffle also

 

  1. Pete Devine was sent check and letter by Tanya for money collected at last club meeting.  Called to say Thank-you – maybe come play for us before Sunny Jim.

 

  1. New Web location support through 1and1.com (Richard & John)

 

    1. Move to new host that will give us what we need.
    2. Content management system.
    3. Need to collect administration fees

  1. Ed – Bus to Buffet concert (GW), would like to offer it to club members as a transportation option to Tweeter.  Club members would be traveling as a “civilian” – no affiliation with WMPH club.  All liabilities fall with Ed not WMPH.

 

  1. Hurricane T-Shirt signing for Las Vegas Margaritaville. Everyone signing the shirt – Richard will send.

 

  1. Round Table – Beads from Marianne – end of the year gift certificate, will send out separate sheet on rules.
